Rules & Regulations
The Tilbury Figure Skating Club is an active member of the Skate Canada organization, and we strive to adhere to the rules and regulations as stipulated by Skate Canada. We encourage you to consult Skate Canada's website (www.skatecanada.ca) for more information. As a skating club, we also have our own set of rules and regulations which must be followed by all members of our club. Please consult the following for more information.
All members and participants are governed by the Tilbury Figure Skating Clubs and arenas Rules and Regulations. Each participant is responsible to ensure they have read the rules and regulations and will abide by them at all times.
By registering, members and participants agree that they have read, acknowledge and consent to abide by the Tilbury Figure Skating Club Policies, Procedures, Rules and Regulations, and Publicity Consent and Release as determined by Skate Canada, and the Board of Directors, and as posted on the club website.
Tilbury Figure Skating Club, its board members, coaches, and volunteers are not responsible for any accidents, injuries or loss of personal belongings either on or off the ice. All Parents/Guardians are responsible for their children while at the arena. Do not leave your children unattended. The Club is not responsible to provide child supervision.
Registration Policies
MEMBERS IN GOOD STANDING All Tilbury Figure Skating Club members must be members in good standing. This means that all fees including registration, coaching, test day, competition or other fees are paid in full at the time of registration unless indicated otherwise if installments have been authorized by club administrators.
MEMBERS IN ARREARS Members in arrears will not be permitted to take part in any club activity and ice privileges will be revoked until monies are paid in full. Fees for tests, competitions, etc., must be paid at the time of registration when the forms are submitted.

COLLECTION AND USER OF INFORMATION
Tilbury Figure Skating Club limits the information we collect about our customers to only what is required, both by the Municipality of Chatham-Kent for ice allocation policies and by the Skate Canada organization for being an active member of a figure skating club. Tilbury Figure Skating Club will collect personal information such as names, addresses, email addresses, phone numbers, etc. through your registration and membership with our club, both of which are voluntary and may be canceled at any time.
Tilbury Figure Skating Club will use this information in order to:
Communicate information relating to the operation and promotion of our club with our members and program participants (i.e., member communications, organization details, current and future program information, club communications, event promotion and details, volunteer information, etc.);
Arrange for instruction and encourage the practice and enjoyment of figure skating;
Help organize and operate competitions and show performances;
Communicate with prospective members about any and all club-related information;
Enable our club committee and administrative staff to administer business activities, programs, and registrations (i.e., through completing program and event registrations, responding to questions, informing members about upcoming events, etc.);
Register your membership with club-associated governing bodies to which you consent (e.g., Skate Canada).
RELEASE OF INFORMATION Tilbury Figure Skating Club does not sell, rent, or exchange identifiable client information with any third party except as described herein or as you may otherwise consent. All information gathered by Tilbury Figure Skating Club is kept strictly confidential. We respect your privacy and confidence as a valued member of our club. Tilbury Figure Skating Club may also provide your personal information where we are required or permitted to do so by law.
Complaint Policy and Procedure
COURTESY AND RESPECT
The Tilbury Figure Skating Club (TFSC) is committed to providing a positive and respectful environment for all members. We expect all individuals to treat each other with courtesy, respect, and fairness at all times. This includes interactions between skaters, coaches, parents, board members, volunteers, and staff.
The TFSC will not tolerate threatening, abusive, or unreasonable behavior. In such instances, communication with the individual may be ceased, and appropriate authorities may be informed.
HOW TO MAKE A COMPLAINT
The TFSC encourages open communication and early resolution of concerns. If you have an issue, please follow this process:
Initial Discussion (Optional): If appropriate, consider discussing the issue directly with the person(s) involved. This can often lead to a quick and amicable resolution.
Formal Complaint: If direct discussion is not appropriate or does not resolve the issue, please submit a formal complaint in writing to tilburyfsc@gmail.com. Please include the following information:
- Your name and contact information
- The names of those involved in the issue
- A clear description of the issue
- Any supporting documentation (if applicable)
- A proposed solution (optional)
Complaint Review: The TFSC will review all written complaints. Depending on the nature of the complaint, it may be addressed by:
- The Club President
- The Board of Directors
- A designated committee
Third-Party Mediation: If the complaint cannot be resolved internally, the TFSC may recommend involving a neutral third-party facilitator or mediator. The TFSC will refer to Skate Ontario's Dispute Resolution Toolkit to guide this process.
Escalation to Skate Ontario: If the complaint remains unresolved, you may escalate it to Skate Ontario in accordance with their complaint procedures.
Important Notes:
- Verbal Complaints: While written complaints are preferred, the TFSC will acknowledge verbal complaints and may document them to initiate the resolution process.
- Social Media: Please refrain from using social media to express complaints or concerns, as those channels are not regularly monitored.
- Skate Ontario Alignment: This complaint policy is intended to align with Skate Ontario's Dispute Resolution Toolkit to ensure fair and consistent complaint handling. Members are encouraged to familiarize themselves with the toolkit, which includes resources such as the Dispute Resolution Assessment Tool and Preparation Tool.
